Diamond Medical Clinic is committed to providing timely, high-quality medical care to every patient. To protect appointment availability, respect provider scheduling, and ensure other patients have access to needed care, we maintain the following Cancellation and No-Show Policy.
Appointment Cancellation Notice
Patients are asked to provide at least 24 hours’ advance notice when canceling or rescheduling an appointment.
This notice allows our clinic to offer the appointment time to another patient who may need care.
How to Cancel or Reschedule
Cancellations or rescheduling requests may be made by:
- Calling our office at (352) 668-4018
- Replying to SMS appointment reminders, if enabled
- Contacting our scheduling team online
- Using the online booking portal, when available
Late Cancellations
Appointments canceled with less than 24 hours’ notice may be considered late cancellations and may be subject to a Late Cancellation Fee.

No-Show Policy
A No-Show occurs when a patient does not attend a scheduled appointment and does not provide advance notice to cancel or reschedule.
Possible Consequences of a No-Show
No-Show appointments may result in:
- A No-Show Fee
- A deposit requirement for future appointments
- Limited rescheduling privileges
- Requirement to prepay for certain future services
Repeated No-Shows may result in dismissal from the practice when permitted by applicable law and professional standards.
Deposits and Prepaid Services
Certain services may require a deposit or prepayment to reserve provider time, supplies, or treatment availability.

- New patient consultations
- Performance and wellness evaluations
- Hormone replacement therapy visits
- Weight loss program visits
- IV therapy packages
- Specialty physical exams
- Other specialty services
Deposit Handling
If an appointment is canceled or rescheduled with proper notice, deposits may be refunded or applied to a future visit, depending on the service and clinic policy.
Late cancellations or No-Shows may result in partial or full forfeiture of deposits or prepaid service fees.
Same-Day Appointments
Same-day appointments are reserved specifically for the patient at the time of booking. Because these appointments often prevent another patient from being scheduled, same-day appointments that are canceled or missed may be subject to applicable fees.
Emergencies and Exceptions
Diamond Medical Clinic understands that emergencies and unexpected circumstances may occur. Cancellation or No-Show fees may be waived at the clinic’s discretion in certain situations.

Fee waivers are not automatic and are evaluated on a case-by-case basis.
Late Arrival Policy
Patients who arrive more than 15 minutes late may need to be rescheduled or may receive an abbreviated visit, depending on provider availability and the type of appointment.
This helps ensure fairness to other scheduled patients and allows our clinic to maintain timely care.
